Know what you need

Certified or notarised translation?

Many customers arrive unsure which service they need. The answer depends on what your ICA or MOM checklist specifies — not on the document type.

Certified translation

Your checklist or letter says:

Suitable for most MOM work pass applications, employer verification and university admissions.

Notarised translation

Your checklist or letter says:

Required for ICA PR, Citizenship, LTVP, Dependant’s Pass, ROM and most Singapore authority submissions.

Avoid costly delays

Why translated Malaysian documents get rejected by ICA

A rejected document means a delayed application. These are the five most common causes — and how our process prevents each one.

  • Stamps, seals or official markings left untranslated — every element must be accounted for

  • Name mismatch between the translation and your Malaysian IC

  • Machine translation (Google Translate / AI) — not accepted by ICA, MOM or any Singapore authority

  • Certified translation submitted when notarisation was required

  • Missing notarisation — mandatory for all submissions since October 2019

  • Acceptance guarantee: if your notarised translation is rejected by ICA, MOM, ROM, ACRA or any stated Singapore authority due to an error in our work, we correct it immediately at no charge — or provide a full refund within 14 days

FAQ

Frequently asked questions

Answers to the most common questions about notarised translation of Malaysian documents for ICA and Singapore authorities.

ICA & Singapore authority requirements

Does ICA accept notarised translations for Malaysian documents?
Yes. ICA accepts translations notarised by a Singapore Notary Public, or produced by the issuing country’s embassy/or a Malaysian Notary public.
What is SAL authentication and why do I need it?
SAL authentication is the verification stamp issued by the Singapore Academy of Law that validates a notarised document for submission to ICA and other Singapore government authorities. Since 1 October 2019, ICA requires SAL authentication on all notarised documents. Alternatively you can submit a translation notarised by a notary public from Malaysia. We include this step at no extra charge.
What is the difference between certified and notarised translation?

A certified translation includes a signed declaration from the translator confirming the translation is complete and accurate. A notarised translation goes further — a Singapore Notary Public witnesses and seals the declaration, making it legally valid for ICA, MOM, ROM and other official submissions. ICA and most Singapore immigration and civil authorities require notarised translations.

Can I use Google Translate or AI tools for ICA or MOM submissions?
No. ICA, MOM and all Singapore government authorities do not accept machine translations including Google Translate, DeepL or AI-generated outputs. Translations must be produced by a qualified human translator and accompanied by a certification statement or notarisation. Submitting a machine translation is one of the leading causes of document rejection at ICA.
Which Malaysian documents require notarised translation for ICA?
Malaysian documents commonly requiring notarised translation for ICA submissions include: birth certificates (Sijil Kelahiran), marriage certificates (Sijil Perkahwinan or Sijil Nikah), SPM and STPM certificates, Borang K (Certificate of Renunciation of Malaysian Citizenship), death certificates (Sijil Kematian), divorce certificates (Dikri Nisi Mutlak or Sijil Perceraian), and academic degree certificates and transcripts (Ijazah / Transkrip Akademik).

Documents, process & turnaround

How long does notarised translation take?
Standard turnaround is 24–48 hours for translation and certification. Notarisation with SAL authentication typically adds 1–2 working days. Urgent same-day service is available on request — WhatsApp us to confirm slot availability. We advise ordering translation the same day you collect any government-issued documents, as ICA often sets submission deadlines.
Do I need to provide the original document for notarisation?
For translation, a clear scan or photograph of your Malaysian document is sufficient — we do not need the original to begin. For notarisation, the Singapore Notary Public may need to sight the original document in certain cases. If the original is required, we will advise you on what is needed and how to proceed safely. Keep your originals accessible in case ICA requests them directly.
Can I submit my documents by WhatsApp?

Yes. WhatsApp a clear scan or photo of your Malaysian document to +65 8819 1349. We will review it, confirm whether certified or notarised translation applies to your submission, and send a payment link — usually within the same working day. No walk-in appointment is required.

Do stamps and seals on my Malaysian document need to be translated?
Yes. Every element on the original document must be accounted for — including official stamps, government seals, watermarks, remarks and handwritten annotations. Omitting any of these is one of the most common causes of ICA and MOM document rejection. Our translation describes or translates every visible element on the document.

Pricing & guarantees

How much does notarised translation cost in Singapore?
At certified-translation.co, we specialise in the translation of Malaysian documents. A notarised translation will cost S$150 for a single-sided document and S$180 for a double-sided document (for example, Borang K). The fee is all-inclusive: translation, notarisation, PDF softcopy and hardcopy preparation. No hidden charges — pricing is confirmed in writing before work begins.
What is your acceptance guarantee?
If your notarised translation is rejected by ICA, MOM, ROM, or any stated Singapore authority because of an error in our translation or notarisation, contact us within 14 days with the rejection details. We will correct the documents at no charge or provide a full refund. We also offer a lowest-price guarantee: if you find a cheaper equivalent notarised translation in Singapore, show us and we will match the price.
How many notarised hardcopy sets will I receive?

By default, one set of notarised hardcopy documents is included. If you need additional sets for separate applications — for example, one for ICA and one for your personal records — let us know at the quote stage and we will include them in your quote. Additional sets are typically charged at a reduced rate.
